Tutor Performance Improvement Plan (PIP/TIP)

A Tutor Performance Improvement Plan (PIP/TIP) is a structured process aimed at helping tutors improve their professional practice. Here are the key components of an effective TIP:

1. Introduction

  • Purpose Statement: The purpose of the TIP is to support the tutor's professional growth and improve their performance.

  • Summary of Concerns: Provide a brief overview of the specific performance issues or areas of concern that have led to the development of the TIP.

2. Performance Expectations

  • Detailed Description of Expectations: Specific performance standards or expectations for tutors are listed below:

    • The tutor arrives at all of the tutoring sessions on time.

    • The tutor greets students at the beginning of tutoring sessions.

    • The tutor attends their scheduled sessions.

    • The tutor actively engages with the students.

    • The tutor has their camera on while engaging with students.

  • Measurable Goals: Set specific, measurable, achievable, relevant, and time-bound (SMART) goals related to the areas of concern.

  • Ex. SMART goals aligning with above:

    • The tutor has their virtual background set to the PLUS branded background

    • If tutoring on Zoom, the tutor records their breakout rooms AND uploads all files to Box afterward.

    • The tutor completes their reflection form after each shift.

    • The tutor messages in the relevant school channel on Slack and tags @here with any urgent issues.

    • The tutor has no more than 2 unexcused absences. PLUS has an strict “three strikes and you’re out” rule for tutors who have 3 or more unexcused absences. If you need to call off or if you are substituting for another tutor, complete the shift swap form and send a message in the Shift Swaps channel on Slack asking if anyone is available to cover it. Completing both at least twelve (12) hours before the start of your shift ensures that your absence is excused. We only allow a maximum of two (2) unexcused absences.

3. Action Plan

  • Strategies for Improvement: Describe the specific strategies, activities, and PD the tutor will undertake to address the areas of concern. Possible strategies:

    • The tutor will be assigned specific lessons in the app.

    • The tutor will be assigned a mentor (tutor supervisor).

    • The tutor will complete the TIP form monitoring their own progress on their goals.

  • Timeline: Provide a clear timeline for the implementation of the TIP, including start and end dates, as well as key milestones and checkpoints.

4. Monitoring and Feedback

  • Observation Schedule: Outline a schedule for formal and informal observations, specifying who will conduct the observations and how often they will occur.

  • Feedback Mechanisms: Explain how and when feedback will be provided to the tutor. This might include written reports, one-on-one meetings, and follow-up discussions.

  • Documentation: Detail how the tutor's progress will be documented, including any forms or tools that will be used to track improvements and areas still needing attention.

5. Evaluation Criteria

  • Success Indicators: Define clear criteria for evaluating the tutor's progress and determining whether the goals of the TIP have been met. These criteria should be directly linked to the performance expectations and measurable goals set at the beginning of the plan.

  • Review Process: Describe the process for reviewing the tutor's performance at the end of the TIP, including who will be involved in the evaluation and how the final decision will be communicated.

6. Consequences and Next Steps

  • Possible Outcomes: Clearly outline the possible outcomes of the TIP, including what will happen if the tutor successfully meets the improvement goals and the consequences if they do not. This might range from the continuation of employment with recognition of improvement to further actions such as additional support plans or, in some cases, termination of employment.

  • Follow-up Plan: If the tutor successfully completes the TIP, outline any ongoing support or monitoring that will be provided to ensure sustained improvement.

7. Signatures and Acknowledgments

  • Acknowledgment of Understanding: Include a section for the tutor to acknowledge that they have reviewed and understand the TIP, including the expectations, action plan, and consequences.

  • Signatures: Provide spaces for the signatures of the tutor, the tutor supervisor, and any other relevant parties involved in the TIP process. This formalizes the agreement and commitment to the plan.
