Instructions for starting a Pencil call (with proactive/reactive assignments)

  1. Arrive on time 🙂

  2. Join the Pencil space for your class.

  3. Click Main Room → Switch rooms to view the breakout rooms.

  4. In the top left, select Show everyone to show offline accounts in all rooms.

  5. In the top right, click Recall to bring all users back to the Main room.

  6. In the main room, ensure there is a message on the board asking students to join the call.

  7. Center the “please join the call message” on your view of the Pencil whiteboard.

  8. In the top left, click the Leader mode crown.
    This ensures that students see the “please join the call” message as they will see your view of the whiteboard.

  9. Start the call at the class start time.

  10. Tutors should already have Host permissions.

    1. If they do not, click Invite in the top right hand corner, enter their @andrew.cmu.edu email and send them a Host invitation to the space or find their name in the list.

  11. Greet all tutors and students as they join the call.

  12. When greeting students, tell them they can message you (or any lead/reactive tutor if any are present) if they need help.

    1. State your name so it helps them to remember who to message.
      “Please message me, Alex, if you have any questions!”

    2. Send that same message in the chat for any students who miss the audio message.

  13. Once a student is successfully on the call, send them to the breakout room that is titled with their name.
    For example, the pseudo-student above would be sent to this room:

    Only send students to breakout rooms once they are on the call. Otherwise, they will time out!

    = student on the call

    = student in Pencil but not on the call

    = student offline or timed out

  14. Assign tutors to the students in the proactive tutoring group. For simplicity Pencil breakout rooms are pre-created by the tutor supervisors and organized like this,

    This allows hosts in the Pencil space to more easily see which students should receive which type of tutoring. You can also verify by checking the proactive/reactive student rosters here.

    1. If you ever believe the breakout rooms in a session you run are no longer aligned with the proactive/reactive assignment sheet or there is another issue with the breakout rooms and their naming, please contact a supervisor as soon as possible.

  15. Throughout the session, monitor your chat. Assist reactive tutoring students when they ask for help.
